How do I map my supply chain on product level?

Supply chain mapping on the product level can be particularly useful in the context of a due diligence exercise targeted at high-risk materials that have been identified in the course of a materiality analysis conducted by your company or by one of its customers.


This article describes the process to map the supply chain on the level of selected products, starting with your direct suppliers (T1) that have already been invited to the sustainabill platform by your company and successfully registered an account.


  • In case you are initiating the supply chain mapping, follow all steps (I. - V.)
  • In case you are responding to a customer request, follow only steps II.-IV.



I. Determine and add the products of your company in scope of the supply chain mapping


  • If your company follows a due diligence approach, define the high-risk materials that should be in focus for the supply chain mapping.
  • Establish a list of products [containing the high-risk materials in scope], whose supply chain you want to be mapped.
  • Add the products identified above to the platform as well as their components. You may only list products and components that contain high-risk materials if your company follows a due diligence approach.
  • To add a product navigate to Suppliers >> Products and then click on "New" at the top of the page.
  • To list the components of the newly added product, switch from the product's "Details" tab to the "Components" tab and then click on "Add components".



II. Determine the direct suppliers of your company in the scope of the supply chain mapping


  • Gain an overview of the current state of supplier engagement achieved with regard to the number of T1 suppliers that successfully registered an account upon your company's request.
  • Verify that all suppliers in the scope of the supply chain mapping, based on the components they deliver to your company, have successfully registered an account in sustainabill.
  • You may need to invite additional suppliers or remind suppliers that did not register yet in order to have all the suppliers in scope on board.



III. Send the product information request to the suppliers in scope


You can send this request by:


a. Go to "Suppliers" >> "Companies" in the main menu, select the company and click on "Send request" or


b. In the main menu, go to "Insights" >> "Due diligence", select the company and click on "Send request".

Write clear instructions to your suppliers regarding the suppliers of your company to be invited to participate in the sustainabill platform in accordance with the defined scope of the supply chain mapping (see example below).


The yellow text passages should be adapted by you.

You may consider translating the instructions into the languages relevant to your suppliers and sending the request in different batches for each language.

Note that the text of the instruction should not exceed 1000 characters.



Case 1: due diligence approach focused on high-risk materials


**INSTRUCTIONS FROM YOUR CUSTOMER**:

Please provide information concerning the products your company delivers to 
<name of customer> that contain one or more of the following materials (further referred to as “the material(s) in scope”):
* **<Material 1>**
* **<Material 2>**


When adding new products or editing existing ones, make sure to also provide the following additional product information:

* The **input amount for the production process** for each listed component

* **Product Carbon Footprints (PCF)** - if available

* **Information on REACH compliance** - where applicable

* **Information on RoHS compliance** - where applicable

Case 2: unspecific product information


**INSTRUCTIONS FROM YOUR CUSTOMER**:

Please provide information concerning each of the products your company delivers to <name of customer>


When adding new products or editing existing ones, make sure to also provide the following additional product information:

* The **input amount for the production process** for each listed component

* **Product Carbon Footprints (PCF)** - if available

* **Information on REACH compliance** - where applicable

* **Information on RoHS compliance** - where applicable

IV. Map the products listed by your suppliers to each component of your products


Once your suppliers listed their products on the platform, you can then link them to your own products. By doing so, you provide the information that is necessary to generate the visualization of the supply chain network on the product level.


1. go to "Suppliers".


2. select "Products".


3. select "My company" in the filter bar.


4. select a product from your company that you would like to link to your supplier's products by clicking on the product name.


1. Then switch from the "Details" tab of your product to the "Components" tab.


2. Click on a component to expand the details below it.


3. click on "Map source" and search for the product(s) from your supplier that you would like to assign to this component.


Repeat this process for each component and each product.



V. Send the Supplier Disclosure Request


Once your suppliers listed the products and components relevant to you on the platform, you can ask them to disclose their own suppliers from which they purchase the listed components.


You can send this request by:


a. Go to "Suppliers" >> "Companies" in the main menu, select the company and click on "Send request" or


b. In the main menu, go to "Insights" >> "Due diligence", select the company and click on "Send request".

You may request your suppliers to answer additional Topics of the *Maturity Assessment* alongside the 4 mandatory core Topics / Please request your suppliers to also complete the following additional Topics:

* Health and Safety

* Environmental Protection

* Prevention of Corruption

We strongly recommend you to inform your suppliers separately and in advance about the invitation you are about to send to them.
