I. Check requests missed by supplier
A request is "overdue" when the deadline, which is 2 weeks by default, has been missed.
- Under "Sent Requests" >> "Connection requests", you can filter for "overdue" requests.
II. Check for the email status
Make sure the recipient's email address is correct. This is particularly relevant for connection requests. See the following article for more information:
How do I change the recipient of a sent connection request?
- Wait until all automatic reminders have been sent. Check the feature "Automatic reminders active" in the request details. Read the following article for more information about how automatic reminders work: When does the platform send automatic reminders?
III. Send an email reminder to the respective suppliers
This reminder should be sent either by you - the main contact person registered on the sustainabill platform - or by the respective procurement officer.
You may want to export the current status to Excel to forward it to colleagues who do not have access to the sustainabill platform or to extract the connection link for suppliers who did not receive the registration email due to spam filters: How to export a list with all suppliers who missed a deadline?
- We recommend including the following information in your email:
"Please check your spam folder regularly and define the address support@sustainabill.de as a safe sender (follow this tutorial if you use Microsoft Outlook: https://support.microsoft.com/en-us/office/safe-senders-in-outlook-com-470d4ee6-e3b6-402b-8cd9-a6f00eda7339).
On the technical side, we recommend using recent versions of Chrome, Firefox, or Microsoft Edge to open the registration link. Due to security issues, we do not support Internet Explorer anymore.
For Connection Requests, verify that the connection link is still valid before sending a reminder to your suppliers. For more information, please read the following article: What to do when a connection link has expired?
